We are looking for a Front Desk Coordinator to support daily office operations for a non-profit organization in Pueblo, Colorado. This contract opportunity is ideal for someone who enjoys creating a welcoming environment, handling administrative tasks, and keeping communication flowing smoothly across the office. The person in this role will serve as the first point of contact for visitors and callers while helping staff stay organized through accurate records, scheduling support, and dependable front desk coordination.

This role is for candidates seeking part-time temporary work on an "as needed" basis. This will entail 2 full weeks of training, and then acting as an on-call temp.

Responsibilities:

  • Welcome visitors warmly, guide them through sign-in procedures, and follow office security practices while alerting staff to guest arrivals.
  • Operate a multi-line phone system, respond to incoming calls, relay messages clearly, and direct inquiries to the appropriate team members or departments.
  • Coordinate calendars and appointment schedules for clients and staff to reduce conflicts and support efficient daily operations.
  • Perform administrative support duties such as copying, scanning, filing, and preparing documents for internal use and client-related distribution.
  • Keep the reception area neat, organized, and well maintained while monitoring office materials and restocking supplies when needed.
  • Support case coordinators by entering, organizing, and maintaining paper and electronic records with a high level of accuracy.
  • Communicate with clients in a courteous and clear manner, provide general information, and send reminders or notices as requested.
  • Safeguard confidential client and office information while maintaining organized front desk databases and departmental records.
  • Manage competing priorities throughout the day and adjust quickly to changing needs in a fast-paced office setting.
  • High school diploma or equivalent required.
  • Prior experience in a reception, front desk, or customer service position.
  • Ability to manage a multi-line phone system and handle inbound calls effectively.
  • Strong verbal and written communication skills with a customer-focused approach.
  • Solid organizational skills with the ability to multitask and maintain accurate records.
  • Experience with clerical tasks such as filing, data entry, scanning, and document handling.
  • Detail-oriented, friendly, and dependable in a busy office environment.
