Original job description
We are looking for a proactive, detail-oriented facilities team member to support workplace operations and help deliver a positive employee experience across occupied office environments. This long-term contract position works closely with facilities leadership to maintain daily services while contributing to a multi-stage office relocation effort. The role combines operational coordination, vendor oversight, and site support to keep both locations running efficiently throughout the assignment.
Responsibilities:
- Oversee routine workplace operations by coordinating maintenance, cleaning services, building support, and general facilities activities.
- Address workplace and building-related service needs promptly, ensuring issues are tracked and resolved in a timely manner.
- Assist with financial and administrative tasks such as purchase order processing, invoice review, budget tracking, and operational reporting.
- Maintain records related to safety, compliance, and facility procedures to support organized and consistent operations.
- Partner with vendors, contractors, and property management contacts to uphold site standards and service expectations.
- Support the planning and execution of a phased office move, including logistics, workspace readiness, furniture coordination, and communication with stakeholders.
- Work across two active office locations to help preserve service continuity and reduce disruption during ongoing occupancy and relocation activities.
- Perform regular walkthroughs to identify maintenance needs, safety risks, or operational concerns and escalate or coordinate corrective action.
- Contribute to additional facilities initiatives and special assignments as business needs evolve.
- Handle physical move-related tasks as needed, including lifting and carrying items up to 50 pounds and moving heavier materials with proper assistance or equipment.
- Approximately 2-3 years of experience in facilities, workplace operations, property management, or a closely related environment.
- Associate degree in Facilities Management, Business, Building Operations, or a related discipline is preferred.
- Prior involvement in office relocations, occupancy planning, or workplace transition projects is preferred.
- Strong communication, organization, and problem-solving abilities with the capacity to manage multiple priorities.
- Proficiency with Microsoft Office applications and experience using work order or facilities management systems.
- Ability to coordinate effectively across two occupied office sites while maintaining attention to service quality and deadlines.
- Comfortable supporting hands-on move activities, including frequent lifting of items up to 50 pounds.
