Original job description

We are looking for a Facilities Coordinator to support an efficient workplace environment in Washington, District of Columbia. This contract opportunity with potential for a permanent position is ideal for someone who enjoys staying active, notices details others miss, and takes pride in keeping an office organized, functional, and ready for employees and visitors. The role works across daily facilities support, vendor coordination, inventory oversight, and meeting space readiness to help maintain smooth day-to-day operations.

Responsibilities:

  • Perform frequent walkthroughs of the office to evaluate presentation, safety, cleanliness, and overall readiness throughout the day.
  • Address workplace issues proactively by identifying repair needs, coordinating service, and handling minor fixes when appropriate.
  • Maintain conference rooms, shared spaces, and reception areas so they remain orderly and prepared for guests, meetings, and daily use.
  • Partner with building management, engineering teams, janitorial staff, and outside service providers to support facility operations and resolve issues efficiently.
  • Oversee vendor access within the office and arrange maintenance activity at times that minimize disruption to employees and visitors.
  • Support office reconfigurations by coordinating furniture moves, workspace adjustments, and room setup changes as business needs evolve.
  • Track inventory for office essentials, café items, and other workplace supplies, then place replenishment orders to avoid shortages.
  • Assist with meeting and event logistics, including room preparation, equipment arrangement, delivery coordination, and post-event reset.
  • Use facility-related systems and tools, including CMMS platforms and timekeeping applications such as Kronos, as needed to support operational tracking and service coordination.
  • Prior experience in facilities support, workplace services, hospitality, conference services, hotel operations, events, or a related environment.
  • Strong attention to detail with the ability to identify concerns quickly and take action before they affect the workplace.
  • Comfortable performing a highly mobile, hands-on role that involves walking the office, moving items, and supporting physical setup tasks.
  • Demonstrated ability to work effectively with building teams, maintenance providers, janitorial partners, and other external vendors.
  • Familiarity with conference room support, office supply management, and day-to-day workplace coordination.
  • Experience using CMMS or other computerized maintenance management systems is preferred.
  • Ability to stay organized, manage multiple requests at once, and maintain a detail-focused presence in a visible office-facing role.
