What you get to do every single day:

  • Coordinate the pickup and delivery of mail and parcels with postal carriers, courier services, and external drop-off locations as needed.
  • Organize incoming, outgoing, and interoffice mail so items are accurately sorted and promptly routed to the appropriate departments.
  • Review packages and mail pieces for correct labeling, postage, weight, and packaging to ensure compliance with shipping and postal standards.
  • Complete records and documentation related to mail handling, shipments, and other support service activities.
  • Use and maintain office support equipment such as postage machines, copiers, shredders, and similar tools while monitoring supply levels.
  • Replenish workplace materials, including copy paper and other commonly used supplies, across multiple departments.
  • Maintain water cooler stations and ensure related inventory is stocked for employee use.
  • Assist with building safety efforts by serving in an emergency evacuation support capacity, including Fire Captain duties when required.
  • Perform basic routine repairs and respond to urgent facility maintenance needs to help keep the workspace fully operational.

Other requirements for the Facilities Assistant position include and are not limited to:

  • Previous experience supporting facilities, mailroom, office services, or workplace operations in a detail-focused environment.
  • Ability to manage physical tasks such as moving supplies, handling packages, and traveling between departments or external mail locations.

  • Working knowledge of conference room support, office equipment operation, and general facilities coordination practices.
  • Experience with administrative or operational systems such as Kronos Timekeeping System is preferred.
  • Strong organizational skills with close attention to detail when processing mail, maintaining records, and distributing supplies.
  • Ability to respond calmly and effectively during urgent situations, including maintenance issues and building evacuation procedures.
