Original job description

Robert Half Legal is partnering with a prestigious academic healthcare institution in San Francisco to identify a highly experienced Executive Assistant for a short-term, hybrid contract opportunity (2 days onsite/3 days remote) spanning November–December 2026. This position will provide high-level executive and administrative support to senior leadership within the Office of Legal Affairs, including complex calendaring, executive communications, document preparation, project coordination, and coverage for other administrative staff during absences. The ideal candidate will have extensive experience supporting senior executives in a fast-paced, highly confidential professional environment, with exceptional organizational skills, independent judgment, and the ability to manage competing priorities with discretion. Full-time availability (40 hours/week) is preferred, but qualified part-time candidates will also be considered.

Key Responsibilities

  • Provide senior-level executive and administrative support within a fast-paced, highly confidential legal environment.
  • Manage complex executive calendars, coordinate meetings, prioritize scheduling requests, and accommodate competing leadership demands.
  • Coordinate communications with senior university leadership, internal departments, attorneys, and external stakeholders.
  • Draft, edit, proofread, and format executive correspondence, reports, presentations, and legal-related documents.
  • Support project coordination and administrative workflows, including tracking deadlines, action items, and follow-up across departments.
  • Maintain confidential records, electronic files, and document management systems, ensuring discretion when handling sensitive or privileged information.
  • Provide administrative coverage for other Office of Legal Affairs staff during absences.
  • 3+ years of high-level executive support experience assisting C-suite executives, general counsel, vice chancellors, or comparable senior leadership.
  • Demonstrated experience supporting executives within a legal department, higher education institution, government agency, healthcare organization, or similarly complex professional environment.
  • Advanced executive calendaring, meeting coordination, and ability to independently manage competing priorities.
  • Excellent written and verbal communication skills, including professional correspondence, document preparation, editing, and proofreading.
  • Strong organizational and project coordination skills, including workflow management, deadline tracking, and confidential records management.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and ability to quickly learn new systems.
  • Exceptional professionalism, discretion, independent judgment, and ability to handle highly confidential or privileged information.
  • Ability to work independently, anticipate executive needs, and provide effective support with minimal supervision.
  • Availability for full-time or part-time temporary support during November–December 2026, with the ability to work onsite in San Francisco two days per week.
