The person in this role will work closely with multiple leaders, helping keep schedules, communications, and key business activities organized and moving forward.

Responsibilities:

  • Provide high-level administrative support to the Controller and Managing Director while assisting other senior leaders as business needs require.
  • Oversee demanding executive calendars, schedule meetings, and coordinate shifting priorities to keep leadership aligned and on time.
  • Monitor follow-ups, approvals, deadlines, and open deliverables so important items are completed without delay.
  • Prepare clear and accurate documents such as executive correspondence, summaries, presentations, reports, and sensitive meeting materials.
  • Support operational and finance-related administration by organizing documentation, tracking expenses, and coordinating with vendors and internal stakeholders.
  • Arrange travel logistics and manage meeting planning for executives, ensuring schedules and supporting materials are accurate and complete.
  • Facilitate communication between leadership, department heads, external partners, and service providers to maintain clear next steps and accountability.
  • Recognize opportunities to improve administrative workflows and implement practical solutions that increase efficiency and organization.
  • Handle confidential business, financial, legal, and personnel information with a high degree of discretion and sound judgment.
  • At least 5 years of experience providing direct support to C-Suite or senior financial executives such as a CEO, CFO, Controller, or Managing Director.
  • Proven ability to support multiple executives at once within a fast-paced and complex business environment.
  • Strong background in executive support, business operations coordination, and administrative management; experience with financial administration is preferred.
  • Advanced skills in Microsoft 365, including Outlook, Excel, Word, Teams, and SharePoint.
  • Demonstrated success in organizations undergoing growth, change, or competing operational demands.
  • Excellent judgment, professionalism, and discretion when managing highly sensitive information.
  • Confident communication style with the ability to be proactive, diplomatic, and effective when working with senior leadership.
  • Strong organizational skills, attention to detail, and the ability to anticipate needs before issues arise.
