We are looking for an Executive Assistant or Sr. Administrative Assistant to provide dependable, high-level support to senior leadership in the energy and natural resources sector. This Long-term Contract position is ideal for someone who thrives in a fast-moving setting, can balance business priorities with occasional personal support tasks, and remains composed when plans shift quickly. The role offers meaningful exposure to executive operations, along with opportunities to build new skills through company-sponsored training and licensing.
Responsibilities:
- Oversee busy executive schedules by organizing meetings, appointments, and shifting priorities to keep daily activities running smoothly.
- Coordinate domestic and international travel arrangements, including air travel, lodging, transportation, and detailed itinerary preparation.
- Respond quickly to schedule changes and travel disruptions, resolving urgent issues with sound judgment and efficiency.
- Provide administrative and practical support for both business-related activities and occasional personal tasks as requested by leadership.
- Serve as a reliable point of contact for internal teams and external partners, ensuring clear and timely communication on behalf of executives.
- Handle sensitive information with a high level of discretion while maintaining accuracy across correspondence, scheduling, and documentation.
- Assist with basic financial and administrative tasks using QuickBooks, with training and certification provided by the company.
- Obtain and maintain a company-sponsored Notary license and support related documentation needs when applicable.
- Use emerging technology and AI-based tools to improve productivity, streamline routine work, and adapt to changing administrative needs.
- Support executive availability outside standard business hours when necessary, including early mornings, evenings, or occasional weekends.
- Previous experience in an Executive Assistant or comparable administrative support position.
- Strong ability to manage complex calendars, coordinate meetings, and organize competing priorities effectively.
- Demonstrated experience arranging travel and handling detailed logistics for business trips.
- Excellent verbal and written communication skills with the ability to interact professionally with a range of stakeholders.
- Comfort working in a flexible environment that may include in-office duties, off-site assignments, and time-sensitive requests.
- Willingness to learn QuickBooks and complete company-paid certification if not already experienced with the platform.
- Readiness to obtain a company-sponsored Notary license.
- Reliable transportation and the flexibility to support occasional errands or schedule demands beyond traditional office hours.
