This position partners with the Medical Education team to coordinate meetings and training events from initial planning through final closeout, balancing remote work with on-site support as business needs require. The role is ideal for someone who can manage multiple moving parts, maintain strong attention to detail, and deliver a high-quality participant experience while following healthcare and company compliance standards.
Responsibilities:
- Lead the planning and execution of physician education programs, advisory board meetings, summits, and hands-on training events from kickoff through final reconciliation.
- Develop and manage event registration platforms in Cvent, including attendee enrollment, communications, updates, and reporting.
- Arrange travel and related logistics for speakers, participants, and internal stakeholders using approved vendors and established processes.
- Coordinate venue identification, proposal review, and contracting activities in partnership with sourcing and procurement teams.
- Work closely with program managers, faculty, and cross-functional partners to align event details, timelines, materials, and deliverables.
- Oversee attendee tracking, rooming lists, meeting documents, and on-site logistics to ensure smooth event delivery.
- Provide in-person support during live programs, resolving issues quickly and maintaining a high-quality experience for all participants.
- Complete budget monitoring, expense review, billing follow-up, and post-event financial reconciliation with accurate supporting documentation.
- Maintain program records and reporting in Salesforce and other internal tools to support visibility, accuracy, and compliance.
- Ensure every event activity adheres to company policies, healthcare industry regulations, and Sunshine Act requirements.
- At least 5 years of experience managing complex meetings or events, preferably within healthcare, physician engagement, or medical education environments.
- Advanced hands-on experience with Cvent, including registration buildout, attendee tracking, and event communications.
- Working knowledge of Salesforce and other event or operations systems used for reporting and record management.
- Demonstrated ability to coordinate travel, venue logistics, vendor relationships, and on-site event operations with minimal oversight.
- Experience tracking budgets, reconciling expenses, and supporting billing or financial closeout activities.
- Strong understanding of compliance expectations in regulated environments, including healthcare event standards and documentation practices.
- Excellent communication, organization, and project management skills with the ability to manage several priorities at once.
- Willingness to travel approximately 40% to support on-site educational programs and related events.
