Original job description

We are looking for an experienced and highly organized Event Coordinator to support onsite event execution in Georgia. This Long-term Contract position focuses on preparing meeting and event spaces, coordinating closely with facility leadership, and ensuring each event runs smoothly from setup through breakdown. The ideal candidate brings strong communication skills, sound judgment, and a service-oriented approach in a fast-paced work environment.

Responsibilities:

  • Coordinate daily event activities by partnering with the facility manager and assistant facility manager to confirm schedules, room needs, and service expectations.
  • Prepare conference rooms and event spaces for meetings and special functions, including furniture arrangement and readiness checks for both indoor and outdoor setups.
  • Organize refreshments and related hospitality items so events are properly supplied and presented in an organized manner.
  • Test audiovisual equipment before each event and address basic issues to help ensure presentations and meetings begin without disruption.
  • Monitor event spaces during scheduled functions and respond promptly to changing requests, timing adjustments, or setup needs.
  • Break down rooms after events, clear materials, and restore spaces for the next scheduled use.
  • Maintain accurate coordination details using Microsoft Office tools and communicate updates clearly with internal stakeholders.
  • Support event logistics with careful attention to timing, organization, and overall attendee experience.
  • 3-4 years of experience supporting events, meetings, hospitality operations, or related onsite coordination work.
  • Strong verbal and written communication skills with a detail-oriented and approachable demeanor.
  • Proficiency with Microsoft Office applications for scheduling, communication, and coordination tasks.
  • Excellent organizational skills and close attention to detail in a fast-moving environment.
  • Ability to learn quickly, remain patient under pressure, and adapt to changing event schedules.
  • Comfortable working onsite and supporting events that may take place indoors or outdoors.
  • Ability to identify and resolve routine AV or room setup issues before and during events.
