The role requires strong organizational skills, a service-focused mindset, and the ability to keep multiple projects moving efficiently while maintaining accurate documentation.

Responsibilities:

  • Coordinate daily schedules for technicians, inspectors, and subcontractors to align staffing with project deadlines and client needs.
  • Serve as a primary point of contact for customers by confirming appointments, sharing status updates, and communicating changes to planned service visits.
  • Create and organize operational documents such as work orders, service records, permit paperwork, and supporting project files.
  • Monitor active jobs to help keep key phases on track and ensure important deadlines and deliverables are met.
  • Maintain precise data entry across scheduling tools, company databases, and related tracking systems.
  • Review field and inspection documentation, then help arrange corrective work and follow-up activity when deficiencies are identified.
  • Assist project managers by tracking materials, coordinating purchasing-related updates, and preparing documentation needed for project completion.
  • Work with local jurisdictions to support permit processing and arrange required inspections in accordance with project timelines.
  • Help uphold company procedures, safety expectations, and applicable building code requirements throughout the life of each assignment.
  • Respond to customer questions promptly and provide attentive service from initial scheduling through final project closeout.
  • At least 2 years of experience in dispatching, service coordination, logistics, or a similar operational support role.
  • Demonstrated ability to deliver strong customer service in a high-volume phone or call center environment.
  • Experience managing schedules and coordinating multiple field personnel or subcontractors at the same time.
  • Proficiency with computer-based dispatching systems, scheduling platforms, and standard business software.
  • Strong communication skills with the ability to provide clear updates to customers, technicians, and internal teams.
  • Excellent organizational skills and attention to detail when handling records, service documentation, and time-sensitive tasks.
  • Ability to prioritize changing demands, resolve scheduling conflicts, and maintain accuracy in a fast-paced setting.
