We are looking for a detail-oriented Customer Account Specialist to support order administration and customer account activity in Phoenix, Arizona. This is a Long-term Contract position that begins with onsite training and is expected to move to a hybrid schedule with at least two onsite days per week based on business needs. The ideal candidate brings strong analytical judgment, a service-focused mindset, and the ability to manage a high volume of transactions while maintaining accuracy. This role works closely with internal teams and external customers to keep orders moving efficiently, address issues proactively, and uphold compliance requirements.
Responsibilities:
- Manage a large portfolio of active customer orders each day, ensuring records are updated accurately and transactions are completed in a timely manner.
- Serve as a primary point of contact for internal partners and external customers by responding to account questions, providing order updates, and resolving service-related concerns.
- Oversee repair order activities from initial receipt through final billing, including order acknowledgment, pricing support, exchanges, and invoice processing.
- Review customer agreements and apply contract terms correctly when entering, processing, and fulfilling account requests.
- Monitor order flow and delivery commitments to identify potential delays early and take action to reduce service risks and possible financial exposure.
- Evaluate warranty requests to confirm eligibility and determine the appropriate next steps for disposition and resolution.
- Maintain compliance with applicable trade and regulatory requirements throughout order handling and customer account administration.
- Support operational processes tied to contract administration, quality expectations, and related account documentation as required.
- Demonstrated experience in customer service, administrative support, or customer account coordination within a fast-paced business environment.
- Proven ability to process a high volume of transactions while maintaining strong attention to detail and data accuracy.
- Strong analytical and problem-solving skills with the initiative to identify issues and drive them to resolution.
- Experience working with invoicing, quoting, claims handling, or contract-related order administration.
- Ability to interpret customer requirements, contractual terms, and compliance guidelines with consistency and sound judgment.
- Proficiency with business systems and office tools; experience with SAP Fieldglass or similar platforms is preferred.
- Knowledge of trade compliance, warranty administration, government repair contract support, or DFARS-related environments is preferred.
- Comfortable working onsite during training and transitioning to a hybrid schedule based on business needs.
