The role partners closely with project leadership and internal stakeholders to keep agreements current, organized, and aligned with project and compliance needs.

Responsibilities:

  • Prepare, revise, and maintain subcontracts, amendments, and supporting records while ensuring updates are communicated clearly to the appropriate stakeholders.
  • Examine contract language, attachments, scope details, and pricing information to confirm accuracy and consistency with project requirements and internal records.
  • Manage contract documents from initiation through completion, keeping files complete, current, and readily accessible for retention and future reference.
  • Coordinate requests for changes from project teams, vendors, and subcontractors, and route legal or drafting questions to the appropriate reviewers for resolution.
  • Track the status of agreements and modifications, providing timely follow-up and regular communication to keep outstanding items moving forward.
  • Verify that licensing, corporate registrations, and other required compliance documentation remain valid and properly documented.
  • Support internal teams by responding to questions regarding contract progress, documentation status, and next steps in the process.
  • Scan, organize, and transfer documents into company file systems to maintain orderly records and reliable document retrieval.
  • Provide day-to-day administrative support related to contracts and complete additional assigned tasks that contribute to project and departmental needs.
  • 3-5 years of relevant experience in contract administration, contract management, or a closely related function is preferred.
  • Associate’s or Bachelor’s degree is preferred.
  • Working knowledge of contract formation, contract documentation, and subcontract administration practices.
  • Ability to review scope, pricing, and supporting documents with strong attention to detail and accuracy.
  • Strong organizational skills with the ability to handle multiple priorities independently and with minimal supervision.
  • Effective written and verbal communication skills with the ability to work well with internal teams, subcontractors, and vendors.
  • Proficiency with Adobe, SharePoint, and Microsoft Office applications.
  • Construction industry experience or familiarity with industrial project environments is a plus.
