Original job description

Jenny Bour with Robert Half is looking for an organized Construction Operations Scheduling Coordinator to support field workforce planning and timekeeping accuracy for a growing team in Tonawanda, New York. This Construction Operations Scheduling Coordinator role works closely with operations leadership and cross-functional partners to keep labor schedules current, improve reporting reliability, and help crews stay aligned with project demands. The position is highly visible and requires sound judgment, strong follow-through, and clear communication with both office staff and field employees.

Responsibilities:

  • Oversee and maintain the field operations schedule, ensuring staffing plans remain accurate, up to date, and aligned with active and upcoming work.
  • Partner with operations leaders, project teams, and field supervision to anticipate labor needs, adjust assignments, and address potential scheduling gaps before they impact delivery.
  • Share approved staffing and schedule updates with managers, supervisors, and field employees so all parties have timely and consistent information.
  • Review labor forecasts and scheduling entries for completeness and accuracy, and help establish consistent practices for maintaining reliable workforce data.
  • Provide guidance and training to employees on scheduling and timekeeping tools to improve adoption, accountability, and day-to-day use.
  • Prepare reports and summaries related to manpower levels, labor demand, staffing trends, and operational planning for leadership review.
  • Audit daily and weekly time records to identify missing punches, incomplete entries, incorrect job coding, and other exceptions requiring correction.
  • Coordinate with supervisors, payroll, and accounting to resolve timekeeping issues, confirm approvals are completed on schedule, and support accurate payroll and job-cost reporting.
  • Help document procedures, investigate recurring data-quality concerns, and support ongoing improvements to scheduling, timekeeping, and related operational systems.
  • At least 3 years of experience in construction operations, workforce scheduling, project coordination, payroll support, timekeeping administration, or a similar role.
  • Background working in commercial construction, mechanical contracting, plumbing, sheet metal, field service, or another labor-intensive project environment preferred.
  • Strong understanding of scheduling practices, labor coordination, and the operational demands of supporting field teams.
  • Experience reviewing time and attendance records, resolving discrepancies, and working with payroll-related deadlines and approvals.
  • Ability to communicate effectively with executives, project managers, supervisors, office staff, and field personnel.
  • High level of accuracy, attention to detail, and follow-through when managing schedules, records, and reporting.
  • Proficiency with digital scheduling, timekeeping, and reporting systems, along with the ability to learn and support evolving software tools.
