Original job description
We are looking for a Construction Administration Coordinator to support project teams during the construction phase for a range of design and building projects in Baltimore, Maryland. This contract position with the potential to become permanent is ideal for someone who thrives in a fast-paced office setting and enjoys keeping documentation accurate, organized, and moving forward on schedule. The person in this role will serve as a central point of coordination for construction-related records and communications, helping teams respond efficiently to project needs.
Responsibilities:
- Coordinate the intake, tracking, and distribution of RFIs, submittals, and related construction documents across active projects.
- Direct documentation to the appropriate project staff and external consultants for review and follow-through.
- Maintain detailed logs and status records to ensure all items remain current, accurate, and easy to reference.
- Monitor response deadlines, identify overdue items, and follow up with internal teams and outside partners to keep reviews on schedule.
- Issue completed responses and reviewed documents to contractors and other project participants in a timely manner.
- Organize and preserve electronic project files, including correspondence, documentation history, and supporting construction records.
- Use project management and communication platforms such as Newforma and Procore to support document control and team coordination.
- Assist with transmittals and provide administrative support for additional construction administration activities as needed.
- Communicate clearly with project managers, architects, consultants, and contractors regarding document status and outstanding action items.
- Prior experience in an administrative or coordination role within architecture, engineering, construction, or a similar structured work environment is preferred.
- Working knowledge of construction administration terminology and processes, including RFIs, submittals, shop drawings, and project documentation.
- Familiarity with Newforma is a plus; candidates without direct experience should be comfortable learning new systems quickly.
- Strong organizational ability with close attention to detail and accuracy in document handling.
- Ability to manage a high volume of information across multiple projects while maintaining deadlines.
- Effective written and verbal communication skills for working with internal teams and external stakeholders.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
- Dependable and proactive work style with the ability to perform well in a deadline-driven office environment.
