Original job description

We are looking for a Collections Specialist to support accounts receivable, billing, and customer account follow-up for a retail organization in Hawaii. This Contract position is ideal for someone who combines strong financial accuracy with excellent communication skills and can manage multiple priorities in a fast-paced environment. The role will focus on maintaining timely invoicing, monitoring outstanding balances, and helping ensure clean and accurate receivables records. Due to the nature of the work and onsite requirements, preference will be given to Hawaii residents. Applicants should be able to reliably commute or reside within the region to meet business needs. All qualified applicants are encouraged to apply by calling us at 808-531-8056.

Responsibilities:

  • Manage day-to-day accounts receivable activities, including issuing invoices, distributing account statements, and recording incoming payments accurately.
  • Follow up on past-due balances through careful customer outreach and consistent collection efforts across commercial and consumer accounts.
  • Maintain customer account records by reviewing billing details, updating account information, and resolving discrepancies in a timely manner.
  • Prepare and review aging reports, billing summaries, and other receivables-related documentation to support financial oversight.
  • Assist with month-end activities by reconciling account details, supporting subledger accuracy, and contributing to a smooth closing process.
  • Help validate financial data through bank reconciliation support and careful review of payment transactions.
  • Produce reporting tied to billing status, account activity, and cost tracking to improve operational visibility for internal stakeholders.
  • Use systems such as QuickBooks and spreadsheet tools to organize receivables data, track collection progress, and support reporting needs.
  • 10+ years of experience in accounts receivable, billing, collections, or a closely related finance support role.
  • Demonstrated background managing both commercial and consumer collections with a strong understanding of collection procedures.
  • Hands-on experience with invoicing, payment application, account reconciliation, and delinquent account follow-up.
  • Proficiency with QuickBooks and Microsoft Excel for financial tracking, reporting, and account analysis.
  • Strong attention to detail with the ability to maintain accuracy across high-volume financial transactions.
  • Effective customer service and communication skills, including the ability to handle sensitive payment discussions professionally.
  • Ability to work independently, stay organized, and manage deadlines in a fast-moving office environment.
