Original job description

We are looking for a detail-oriented Cash Receipts Coordinator to join a legal industry team in Walnut Creek, California on a contract basis with the potential for a permanent role. This position focuses on investigating unapplied cash, resolving payment discrepancies, and ensuring funds are properly matched and recorded across a high-volume accounts receivable environment. The ideal candidate brings strong analytical judgment, clear communication skills, and the confidence to work independently with internal teams, clients, attorneys, insurance representatives, and other external partners.

Responsibilities:

  • Investigate unapplied cash balances by reviewing overpayments, duplicate payments, and missing or unclear remittance details to determine the correct application of funds.
  • Communicate with collectors, clients, insurance carriers, third-party processors, and internal stakeholders to obtain allocation information and resolve outstanding payment questions.
  • Analyze account and payment histories to identify misapplied transactions, payer errors, and other discrepancies, then make or coordinate necessary corrections.
  • Process check payments and assist in identifying electronic and credit card receipts when payment information is incomplete or requires further research.
  • Prioritize resolution efforts using recurring unapplied cash reports, with attention to larger dollar items and aging balances that require prompt follow-up.
  • Prepare documentation for refund or check requests and route materials through the appropriate approval channels for processing.
  • Review write-off and deduction activity for accuracy and legitimacy before finalizing related account actions.
  • Address payment and remittance issues by partnering with stakeholders across legal, administrative, and financial teams to secure complete and accurate information.
  • At least 2 years of experience in accounts receivable, audit, or general ledger accounting.
  • Bachelor’s degree in Accounting, Finance, Business, Economics, or a related field.
  • Working knowledge of accounts receivable processes, cash application, collections, billing support, and payment reconciliation.
