Original job description
We are looking for a Business Analyst to support project portfolio coordination and reporting for a large education environment in Cambridge, Massachusetts. This Long-term Contract position is ideal for someone who can independently drive weekly reporting cycles, bring structure to a high-volume project pipeline, and keep project stakeholders aligned on priorities and status. The role will work closely with project managers and IT leaders to produce clear updates, organize incoming demand, and strengthen visibility across active initiatives.
Responsibilities:
- Create and maintain clear, executive-ready reports that summarize portfolio status, project changes, risks, and upcoming milestones for recurring leadership meetings.
- Coordinate with a group of project managers to gather updates, confirm progress, and ensure portfolio information remains accurate and current.
- Organize and track a large pipeline of technology-related requests and active initiatives submitted by departments, schools, labs, and community stakeholders.
- Extract and analyze data from ServiceNow, Excel, Google Sheets, and related financial sources to support portfolio oversight and operational reporting.
- Facilitate weekly reporting processes by preparing materials, following up on open items, and helping keep projects moving against agreed timelines.
- Partner with IT leadership and project teams to improve visibility into projects in flight, new requests, and changing priorities across the organization.
- Prepare presentation materials and reporting summaries in PowerPoint for leadership discussions and decision-making forums.
- Contribute to project portfolio administration for a broad range of IT initiatives, which may include infrastructure efforts, enterprise software implementations, security-related work, and other institutional technology projects.
- Support portfolio reporting activities tied to evolving tools or systems when needed as part of ongoing project responsibilities.
- 5+ years of experience in business analysis, project portfolio support, PMO coordination, or a closely related function.
- Hands-on experience using ServiceNow in a project or portfolio management environment.
- Strong Excel and Google Sheets skills, including the ability to organize, analyze, and present data from multiple sources.
- Experience working with financial data or financial systems in support of reporting, planning, or project tracking.
- Demonstrated ability to communicate effectively with project managers, stakeholders, and senior leaders across cross-functional teams.
- Proficiency in PowerPoint for developing high-quality reporting decks and leadership presentations.
- Ability to work independently, manage recurring reporting deadlines, and drive follow-through with minimal supervision.
- Background supporting IT organizations, project portfolios, or enterprise technology initiatives is strongly preferred.
