This role combines transactional accounting, reporting, payroll coordination, and administrative support, making it ideal for someone who can balance precision with strong organizational skills. The successful candidate will work across accounts payable, accounts receivable, reconciliations, and compliance-related activities while serving as a dependable point of contact for vendors, customers, and internal teams.

Responsibilities:

  • Process vendor invoices, match charges to purchase orders when applicable, prepare payment batches, and record outgoing payments accurately in the accounting system.
  • Issue customer invoices, apply incoming payments, handle credit card transactions, and prepare bank deposits to keep receivables current and organized.
  • Review customer credit information, support approval decisions, and follow up on outstanding balances to improve collection results.
  • Prepare recurring operational and financial reports, including weekly job updates and additional reporting requested by leadership.
  • Complete journal entries, account reconciliations, and period-end close activities for month-end, quarter-end, and year-end reporting cycles.
  • Maintain fixed asset records, support quarterly tax estimate preparation, and compile documentation needed by the external accountant for tax filings.
  • Oversee administrative accounting tasks such as workers’ compensation tracking, annual true-up support, utility account coordination, and insurance renewal administration.
  • Coordinate payroll data submission through a third-party provider, manage onboarding records, support HR documentation and benefits administration, and assist with year-end payroll reporting.
  • Set up new vendor and customer records, manage document retention and secure shredding processes, and provide backup support for purchasing and shipping/receiving functions as needed.
  • Assist with compliance reporting and periodic business filings, including required assessments, website updates, census submissions, veterans reporting, and support for government contract proposal activities when requested.
  • Experience in bookkeeping or accounting support with hands-on responsibility for accounts payable, accounts receivable, and general ledger activities.
  • Proficiency in account and bank reconciliations, journal entries, and period-end close procedures.
  • Working knowledge of payroll processing coordination, employee onboarding documentation, and related administrative recordkeeping.
  • Strong Microsoft Excel skills and comfort using accounting software such as QuickBooks.
  • Ability to manage detailed data entry with a high level of accuracy and maintain organized financial records.
  • Effective communication skills for interacting with vendors, customers, external accountants, and internal stakeholders.
  • Familiarity with financial reporting, compliance-related documentation, and handling confidential information responsibly.
