Original job description

We are looking for a detail-oriented Bookkeeper to join our team in Binghamton New York in a contract-to-permanent capacity. This position blends hands-on bookkeeping with construction contract coordination, supporting public and prevailing-wage projects from setup through closeout. The role will work closely with internal teams, contractors, agencies, and ownership to keep financial records accurate, billing on schedule, and project documentation compliant.

Responsibilities:

  • Oversee annual prequalification filings and maintain compliance records required by state and local jurisdictions for public construction work.
  • Examine bid and contract documents to identify insurance, bonding, and administrative obligations, then prepare and submit required paperwork to the appropriate parties.
  • Set up new jobs in QuickBooks, establish billing terms and project requirements, and record daily production quantities to support accurate invoicing.
  • Coordinate prevailing wage documentation with payroll support, reconcile agency-generated estimates against accounting records, and resolve discrepancies with internal stakeholders.
  • Prepare invoices for projects that require internal billing, monitor outstanding customer balances, and follow up on overdue receivables in a timely manner.
  • Initiate project bonding and insurance activity, communicate with prime contractors to satisfy administrative requirements, and assist with contract closeout activities.
  • Record month-end journal entries, review bank reconciliations, and maintain balance sheet, asset, and depreciation accounts for accuracy.
  • Reconcile job cost data to the general ledger, verify proper expense coding, and support year-end audit and insurance review activities.
  • Monitor cash positions across accounts and provide financial updates and reporting support to company leadership.
  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related area, or equivalent practical experience.
  • At least 3 years of experience in bookkeeping, construction accounting, or contract administration, with construction industry exposure strongly preferred.
  • Working knowledge of QuickBooks, including project setup, job costing, and customer billing functions.
  • Familiarity with prevailing wage documentation, bonding processes, insurance requirements, and receivables tracking.
  • Strong understanding of month-end close tasks, journal entry preparation, and balance sheet reconciliation.
  • Experience assisting with annual financial reviews, audits, or insurance audits conducted by an external firm.
  • Highly organized with the ability to manage multiple deadlines, maintain accuracy, and communicate effectively with internal and external partners.
