Responsibilities:

  • Process weekly payroll through Paychex, including employees with varying pay rates tied to job requirements and wage classifications.
  • Review employee time records each day to confirm hours are accurate and ready for payroll processing for a workforce of approximately 75 employees.
  • Enter vendor invoices in QuickBooks, print payment records as needed, and ensure invoices are approved before payment is issued.
  • Reconcile bank accounts on a routine basis, including daily cash activity review and monthly account balancing.
  • Match material delivery documentation, such as asphalt and stone slips, to vendor billing to verify quantities and charges.
  • Administer payment activity by preparing check information for Positive Pay and monitoring short-term cash needs through scheduled QuickBooks reporting.
  • Maintain credit card activity and reconciliations, while tracking bill payments and applying available card rewards appropriately.
  • Support benefits and compliance administration by handling 401(k) contributions and company match, preparing quarterly financial information for external partners, and completing annual and periodic filings such as 1099s, Form 2290, workers' compensation audit support, sales and use tax reporting, and PennDOT prequalification renewals.

  • Proficiency in QuickBooks and Excel, with the ability to manage financial data accurately and efficiently.
  • Working knowledge of bank reconciliations, invoice processing, and payment tracking in a multi-transaction environment.
  • Familiarity with payroll administration, including review of time records and handling employees with multiple pay rates.
  • Understanding of basic accounting principles and the ability to prepare financial information for outside accountants or banking partners.
  • Strong attention to detail with the ability to organize priorities and meet recurring daily, weekly, monthly, quarterly, and annual deadlines.
  • Ability to work with confidential financial and employee information with strong attention to detail.
