Original job description

Every invoice tells a story. Make sure the numbers add up. A well-established North County construction and engineering services organization is seeking a Billing Specialist to support project invoicing, contract documentation, and accounts receivable operations. This is an opportunity for someone who enjoys working with numbers but also wants to understand the details behind each transaction. Unlike a high-volume invoice-entry position, this role involves reviewing project information, confirming billing terms, investigating discrepancies, and coordinating with project managers and accounting to ensure invoices are accurate before they reach clients. The ideal candidate is comfortable working with deadlines, detailed documentation, and multiple projects at different stages. Experience with construction billing, service contracts, or project-based invoicing will be especially valuable.

What you'll be doing:

  • Prepare and issue customer invoices based on contracts, approved work, and project documentation.
  • Review billing schedules, purchase orders, change orders, and supporting records.
  • Verify rates, quantities, milestones, and other invoice details before submission.
  • Coordinate with project managers to obtain approvals and missing documentation.
  • Maintain billing schedules and track upcoming invoice deadlines.
  • Research billing discrepancies, credits, rebills, and customer questions.
  • Submit invoices through customer portals and monitor submission status.
  • Track outstanding invoices and partner with collections on overdue balances.
  • Maintain accurate customer accounts and billing records.
  • Assist with monthly accounts receivable reporting and reconciliations.
  • Support month-end close by ensuring invoices are recorded in the correct period.
  • Help improve billing procedures and documentation workflows.
  • 2–4 years of billing, accounts receivable, or accounting support experience.
  • Experience with contract, project, or service-based billing preferred.
  • Strong Excel skills and familiarity with accounting systems.
  • Excellent attention to detail and ability to meet recurring deadlines.
  • Comfortable communicating with project managers, customers, and accounting staff.
  • Strong organizational skills and follow-through.
  • Construction billing, progress billing, lien documentation, or purchase order experience is a plus.
