This role combines day-to-day administration with careful review of payroll and benefits data, ensuring accurate processing, strong internal controls, and compliance with applicable regulations. The ideal candidate brings deep knowledge of benefits coordination, payroll systems, and employee support while handling sensitive information with discretion and meeting critical deadlines.

Responsibilities:

  • Manage regular payroll processing across multiple business entities, employee groups, and work locations using Paylocity, ensuring accuracy and timeliness.
  • Review and reconcile payroll records, exception reports, and supporting documentation while partnering with Finance on reporting and ledger-related items.
  • Administer payroll changes such as hires, separations, pay updates, incentive payments, deductions, garnishments, tax withholdings, and direct deposit setup.
  • Monitor timekeeping details, approvals, overtime calculations, and premium pay requirements to support compliance with wage and hour standards.
  • Resolve payroll and benefits issues by researching discrepancies, answering employee questions, and coordinating corrections when needed.
  • Oversee employee benefits programs including medical, dental, vision, life, COBRA, leave-related matters, and 401(k) administration.
  • Coordinate benefit enrollment activity for new employees, open enrollment periods, qualifying life events, eligibility updates, and terminations.
  • Reconcile carrier invoices, benefit deductions, and enrollment data across payroll and vendor systems, addressing inconsistencies promptly.
  • Work with brokers, insurance carriers, retirement plan partners, and other vendors to maintain smooth benefits administration and service delivery.
  • Strengthen payroll and benefits procedures by maintaining calendars, documentation, internal controls, compliance records, and process improvement initiatives, including support for year-end reporting and required filings.
  • Demonstrated experience administering payroll and employee benefits in a multi-site or multi-entity environment.
  • Advanced working knowledge of Paylocity, including payroll processing, benefits record maintenance, and reporting.
  • Strong understanding of benefits coordination, COBRA administration, leave of absence processes, and compensation and benefits practices.
  • Familiarity with payroll compliance requirements, wage and hour regulations, payroll tax processes, and year-end reporting activities.
  • Proven ability to analyze reconciliations, identify discrepancies, and resolve complex payroll or benefits issues with accuracy.
  • Excellent organizational skills with the ability to manage deadlines, confidential information, and multiple priorities independently.
  • Effective communication skills for supporting employees and collaborating with internal departments, brokers, carriers, and external vendors.
