The ideal candidate is organized, comfortable working across multiple systems, and able to handle sensitive information with care.
Responsibilities:
- Maintain and update client records in internal platforms, ensuring information is accurate, complete, and current.
- Review tax and financial documents for completeness and proper formatting before they move forward in the preparation or filing process.
- Organize, scan, copy, and file client materials in both digital and physical formats so documents remain secure and easy to access.
- Prepare and assemble completed tax return packages for delivery, confirming that all supporting paperwork is included.
- Retrieve client details and documentation for advisors and other team members to support research, follow-up, and issue resolution.
- Perform accuracy checks on records and returns by comparing current information with prior-year data and applicable filing guidelines.
- Assist with researching client questions related to tax documentation, account information, or financial service requests.
- Support electronic client correspondence and help prepare administrative materials needed by wealth advisors and tax professionals.
- Previous experience in an administrative, document processing, accounting, or tax support role is preferred.
- Familiarity with tax forms, financial records, and basic tax terminology is highly desirable.
- Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
- Experience entering data with a high level of accuracy and managing multiple tasks in a deadline-driven environment.
- Strong organizational skills and close attention to detail when handling confidential client information.
- Ability to communicate professionally with colleagues and clients in person, by phone, and through written correspondence.
- Comfort learning and using business systems such as CRM or tax software; experience with Salesforce or tax preparation platforms is a plus.
- Associate’s degree in business, accounting, or a related field is preferred.
