Original job description

We are looking for an Administrative Coordinator to support preconstruction efforts for a growing construction team in Greenville, South Carolina. This contract-to-permanent position focuses on identifying subcontractors and vendors with relevant experience, coordinating outreach, and helping keep bid activity on schedule for upcoming projects. The ideal candidate is organized, comfortable communicating with a wide range of contacts, and able to manage deadlines in a fast-paced office environment.

Responsibilities:

  • Use internal databases and search tools to identify subcontractors and vendors located near active project opportunities.
  • Reach out to prospective bidding partners by phone and email to confirm interest, availability, and fit for upcoming work.
  • Track bid timelines and communicate key submission dates so pricing and proposals are received in time for client deadlines.
  • Organize contact information, outreach activity, and follow-up details to maintain accurate and accessible records.
  • Coordinate with estimators and project managers by forwarding relevant responses and supporting the handoff of bid information.
  • Follow up with existing and new industry contacts to expand participation and strengthen bid coverage for each project.
  • Assist with scheduling, administrative support, and general office coordination related to pre-bid activities.
  • Previous experience in administrative support, coordination, or office operations is required.
  • Confidence making outbound calls and communicating professionally with vendors, subcontractors, and internal team members.
  • Strong organizational skills with the ability to manage multiple deadlines and follow-up tasks at the same time.
  • Experience maintaining calendars, schedules, or time-sensitive tracking systems in a business setting.
  • Comfortable working with databases, filtering contact lists, and updating records accurately.
  • Proficiency with standard office software and general computer applications.
  • Construction, contractor, or bid coordination experience is preferred but not required.
