The role combines office coordination, employee support, and HR administration in a fast-paced healthcare-related setting.

Responsibilities:

  • Oversee front-office activity by coordinating visitor check-in procedures, managing workplace access, and helping maintain a secure and well-organized environment.
  • Partner with property contacts, external vendors, and service providers to address facility needs, maintenance requests, and general office operations.
  • Keep shared spaces well organized by monitoring conference rooms, kitchens, common areas, and supply levels, while arranging service for office equipment and appliances as needed.
  • Receive and distribute mail, shipments, and deliveries to support smooth daily business operations.
  • Help strengthen employee engagement by organizing office events, celebrations, team gatherings, and recognition activities that contribute to a positive workplace culture.
  • Assist with onsite meetings, leadership visits, town halls, and other in-person events by coordinating logistics and ensuring spaces and materials are prepared.
  • Support recruiting and onboarding efforts through interview scheduling, candidate communication, hiring documentation, and new employee coordination.
  • Maintain employee records, HR documentation, and related administrative workflows with a high level of accuracy and confidentiality.
  • Contribute to people operations projects and process enhancements, including administrative support for training, internal communications, and employee lifecycle activities.
  • At least 2 years of experience in administrative coordination, office support, or a related people operations environment.
  • Demonstrated ability to manage scheduling, calendar coordination, and multiple priorities in a fast-moving setting.
  • Experience providing administrative assistance and handling inbound calls in a detail-oriented manner.
  • Strong organizational skills with the ability to maintain accurate records, track supplies, and follow through on operational details.
  • Effective written and verbal communication skills for working with employees, candidates, leaders, and external partners.
  • Ability to handle sensitive information with discretion and maintain confidentiality in HR-related tasks.
  • Proficiency with standard office tools and comfort supporting workplace operations in a healthcare, hospital, or social assistance environment.
