Original job description

We are looking for a dependable Administrative Assistant to support project operations for a construction team in South Carolina. This contract opportunity with permanent potential is ideal for someone who enjoys balancing office coordination with occasional local travel to job sites while working closely with project leadership. The person in this role will help keep meetings, documentation, and day-to-day administrative tasks organized, with the opportunity to grow into project administration and potentially assistant project management over time.

Responsibilities:

  • Support a project manager with daily administrative coordination, scheduling, and follow-up activities to keep projects moving efficiently.
  • Travel to nearby job sites as needed to assist with project-related administrative tasks; mileage reimbursement is provided for business travel.
  • Record clear and accurate meeting notes, then distribute summaries and action items to the appropriate team members.
  • Prepare, update, and manage project documents using PDF markup and annotation tools such as Bluebeam or Adobe Acrobat.
  • Assist with front office and reception-related duties, including handling inbound calls and directing inquiries appropriately.
  • Enter and maintain data in company records, ensuring files, logs, and project information remain accurate and accessible.
  • Provide administrative support across project management, business development, and marketing activities as priorities shift.
  • Contribute to special assignments and evolving project coordination needs, with training provided for expanded responsibilities in project administration.
  • Previous experience in administrative support, office coordination, or a similar business support role.
  • Strong ability to take detailed meeting minutes and organize follow-up information accurately.
  • Comfort using document editing and markup tools, including Bluebeam or Adobe Acrobat, or the ability to learn quickly.
  • Willingness and ability to travel locally to project sites using reliable transportation.
  • Proficiency in handling inbound calls, data entry, and general receptionist or front desk responsibilities.
  • Excellent organizational skills, dependability, and a strong work ethic in a fast-paced environment.
  • Clear written and verbal communication skills with the ability to work effectively with multiple internal stakeholders.
