We are looking for an Accounts Receivable Specialist to support receivables activity for a portfolio of residential communities in Florida. This contract opportunity with permanent potential is ideal for someone who can keep account records accurate, manage incoming payments efficiently, and work across teams to address billing questions and balance discrepancies. The role partners closely with accounting, property operations, and collections contacts to ensure timely follow-up and dependable financial reporting.
Responsibilities:
- Oversee resident and owner account setup, recurring assessments, and billing details to keep account records current and accurate across multiple properties.
- Receive, post, and allocate payments correctly while confirming funds are applied to the proper property and account.
- Investigate payment exceptions such as unidentified receipts, incorrect postings, and unapplied balances, then take corrective action to clear outstanding issues.
- Analyze aging and balance reports to identify overdue accounts, unusual payment activity, and items needing follow-up.
- Perform reconciliations between detailed receivable records and the general ledger, resolving variances in a timely manner.
- Enter approved credits, adjustments, and account transfers with complete supporting documentation and adherence to internal controls.
- Respond professionally to questions from property managers and account holders regarding charges, payment history, and current balances.
- Maintain thorough account documentation that captures research performed, communication history, next steps, and pending items.
- Assist with deposits, periodic reporting, and month-end receivables tasks while meeting established deadlines and procedural standards.
- Provide team support and backup coverage for additional accounts receivable functions as business needs require.
- 3 to 5 years of hands-on accounts receivable experience.
- Background in residential property management accounting, with condominium or homeowners association experience strongly preferred.
- Familiarity with Yardi is preferred, and exposure to Avid is a plus.
- Solid understanding of payment posting, billing processes, account reconciliation, and general bookkeeping practices.
- Demonstrated ability to research discrepancies and resolve account issues accurately and efficiently.
- Proficiency in Microsoft Excel, Outlook, and Word, including sorting, filtering, and basic spreadsheet formulas.
- Strong organizational skills, attention to detail, and the ability to manage high transaction volume across multiple properties.
- Strong communication skills and sound judgment when handling confidential financial information.
