We are looking for an Accounts Receivable Specialist to join our team on a Contract basis in Houston, Texas. This role focuses on supporting day-to-day billing, payment posting, account reconciliation, and collection activities while maintaining organized financial records. The ideal candidate is detail-oriented, communicates professionally with customers and internal teams, and can manage multiple priorities in a deadline-driven environment.

Responsibilities:

  • Create and issue customer invoices by reviewing contract terms, billing timelines, and supporting project documentation for accuracy.
  • Verify billing details against cost records, purchase orders, and related backup to help ensure complete and correct invoicing.
  • Record and apply incoming payments from multiple sources, including checks and wire transfers, while keeping account activity up to date.
  • Maintain organized accounts receivable files and supporting documentation in line with departmental standards and recordkeeping practices.
  • Respond to customer questions about invoices, resolve missing information, and provide timely updates on billing status.
  • Assist with collection efforts by sending statements, monitoring past-due balances, and documenting follow-up communication with customers.
  • Reconcile customer accounts, investigate payment or billing discrepancies, and collaborate with internal teams to resolve outstanding issues.
  • Support administrative compliance tasks such as lien-related documentation, preliminary notices, and other account support paperwork when needed.
  • Monitor shared AR communications and contribute to weekly, monthly, and month-end reporting and reconciliation activities.
  • High school diploma required; an associate degree in Accounting, Business, or a related field is preferred.
  • 1–2 years of experience in accounts receivable, accounting support, billing, or a similar administrative finance role is preferred.
  • Familiarity with invoicing, cash application, commercial collections, and account reconciliation processes.
  • Experience in construction, project-based accounting, or construction-related billing environments is a plus.
  • Knowledge of lien waivers, lien releases, and Texas construction lien practices is preferred.
  • Proficiency with Microsoft Excel, Outlook, and accounting systems such as Vista, Sage, or comparable software.
  • Strong attention to detail, sound organizational skills, and the ability to handle confidential financial information responsibly.
  • Effective written and verbal communication skills with the ability to work independently and collaboratively across departments.
