Original job description
We are looking for an Accounts Receivable Clerk to join our team in Tamarac, Florida on a Contract to permanent basis. This position focuses on supporting construction project billing, receivables processing, collections, and lien waiver administration while helping maintain accurate financial records. The role works closely with project, operations, purchasing, and finance teams to keep invoicing current, documentation complete, and cash flow activity on schedule. Responsibilities: • Manage daily accounts receivable activities for multiple active construction projects, ensuring billing tasks and supporting records are completed accurately and on time. • Prepare monthly progress billings, including AIA-style documentation and other customer-required invoice formats, in alignment with contract terms and project timelines. • Partner with Project Managers to update schedules of values, incorporate approved changes, and confirm invoices reflect current contract amounts and percent complete. • Create and maintain customer records in Sage 100, issue invoices, and assemble all backup documentation required by clients, general contractors, and online billing systems. • Record incoming payments, apply cash receipts to the correct projects and invoices, and prepare bank deposits promptly. • Review aging reports, follow up on overdue balances, and communicate collection concerns to leadership and project stakeholders when needed. • Assist with month-end activities by supporting receivables cut-off, accrual entries, account reconciliations, and tie-outs between the subledger and general ledger. • Prepare and track conditional and unconditional lien waivers, monitor retainage balances, and coordinate release activity tied to project milestones. • Maintain organized electronic and hard-copy files for billing, receivables, and compliance documentation in accordance with audit and retention standards. • Provide backup assistance to accounts payable and purchasing by helping with invoice processing, matching documentation, check support, purchase order records, and delivery tracking as needed.

- Experience using accounting software such as Sage 100 to manage customer invoicing and receivables records.
- Strong attention to detail and organizational skills with the ability to manage documentation across multiple projects.
- Effective communication skills and the ability to collaborate with project teams, finance staff, and external customers.
- Familiarity with lien waiver processing and construction-related receivables compliance is preferred.
