The ideal candidate brings strong attention to detail, solid Excel and QuickBooks experience, and the ability to learn established processes quickly while providing dependable day-to-day coverage.
Responsibilities:
- Manage accounts receivable activities for commercial customers, ensuring invoices are prepared accurately and issued on schedule.
- Coordinate with project managers to obtain progress updates and completion estimates needed to support milestone-based billing.
- Apply incoming payments to the appropriate customer accounts and reconcile discrepancies in a timely manner.
- Conduct collection outreach on overdue balances while maintaining clear and courteous communication with clients.
- Shadow the current process owner, document established billing procedures, and assume assigned responsibilities as needed.
- Review account activity regularly to identify aging issues, resolve open items, and support accurate receivable reporting.
- Use Excel and QuickBooks to track transactions, maintain records, and prepare routine account updates.
- Assist with additional accounting support tasks during periods of increased workload through the end of the contract.
- Help maintain organized documentation related to invoices, cash applications, collections, and account follow-up.
- Experience working in accounts receivable, including billing, cash application, and collections responsibilities.
- Background supporting commercial collections and communicating with customers regarding outstanding balances.
- Knowledge of billing processes tied to project milestones or percentage-of-completion updates.
- Intermediate proficiency in Microsoft Excel for tracking, organizing, and reviewing financial data.
- Hands-on experience using QuickBooks in an accounting or receivables environment.
