Original job description
We are looking for an experienced Accounts Payable Supervisor/Manager to support a food and food processing organization in Arbuckle, California. This Long-term Contract opportunity is ideal for a hands-on leader who can strengthen payables operations, guide a high-performing team, and improve consistency across multiple business entities. The role focuses on accurate payment processing, compliance, cash planning, and process enhancement while partnering closely with accounting and operational stakeholders.
Responsibilities:
- Direct daily accounts payable activities from invoice intake through final payment, ensuring accurate coding, routing, authorization, and disbursement across business units and legal entities.
- Supervise and develop accounts payable staff by setting performance expectations, coaching team members, and promoting a strong culture of precision and accountability.
- Support monthly close by overseeing accrual preparation, account reconciliations, and AP-related reporting to maintain complete and reliable financial records.
- Establish and monitor internal controls designed to reduce payment errors, prevent duplicate transactions, verify vendors, and enforce proper approval and release procedures.
- Coordinate compliance efforts for company policies, audit requirements, 1099 reporting, and sales and use tax activities in partnership with accounting and tax teams.
- Identify process bottlenecks and lead improvement initiatives that increase efficiency, shorten turnaround times, and lower administrative effort within the AP function.
- Create and maintain standardized payables policies and procedures across divisions while aligning local practices with broader organizational control requirements.
- Prepare short-term and rolling payment forecasts to support cash flow visibility, treasury planning, and working capital management in collaboration with finance leadership.
- Participate in system-related initiatives such as AP automation, platform enhancements, integrations, user testing, and vendor master data cleanup to improve accuracy and scalability.
- Advance electronic payment adoption, including ACH and wire activity, to improve security, reduce manual check processing, and modernize payment operations.
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related discipline, or comparable relevant experience.
- At least 7 years of progressively responsible accounts payable experience, including 3 or more years leading or managing a team.
- Strong knowledge of core AP processes such as invoice coding, payment execution, check runs, ACH activity, and vendor record maintenance.
- Experience creating and enforcing internal controls, supporting audits, and maintaining compliance with tax reporting and payment policies.
- Ability to manage payment forecasting, cash planning support, and month-end close responsibilities in a multi-entity environment.
- Proficiency with ERP and business productivity tools, including NetSuite and Microsoft 365.
- Demonstrated success improving workflows, standardizing procedures, and supporting system implementations or process automation projects.
