- Manage a large volume of expense invoices tied to transportation and operating costs, including fuel, repairs, maintenance, tolls, permits, and insurance charges.
- Oversee payment activity across multiple methods such as check disbursements, ACH transactions, wire transfers, and virtual card payments.
- Review account coding for accuracy and enforce adherence to internal policies, approval requirements, and financial controls.
- Maintain vendor master data, including tax forms, banking details, and onboarding documentation for new suppliers.
- Investigate and resolve supplier questions, payment discrepancies, and account balance issues while completing reconciliations as needed.
- Provide guidance and daily oversight to accounts payable staff while remaining actively involved in processing and issue resolution.
- Lead month-end payable close tasks, including accrual support, aging analysis, and reconciliation of subledger balances to the general ledger.
- Produce accounts payable reporting on invoice throughput, payment timing, aging trends, and projected cash needs for leadership review.
- Assist with audit requests, 1099 preparation, compliance activities, and ongoing improvements that enhance efficiency and automation within AP operations.
- At least 5 years of accounts payable experience, including prior responsibility for supervising or managing team members.
- Demonstrated success leading full-cycle accounts payable operations in a high-volume processing environment.
- Strong working knowledge of invoice coding, payment processing, vendor file administration, and account reconciliation activities.
- Experience using Microsoft Dynamics GP or similar ERP platforms to manage payables transactions and reporting.
- Advanced Excel skills, including the ability to work with formulas and analyze financial data efficiently.
- High attention to detail with strong organizational skills and the ability to meet deadlines in a fast-paced setting.
- Background in transportation, trucking, logistics, or distribution environments is strongly preferred.
