Original job description
We are looking for an Accounts Payable Supervisor to oversee day-to-day payable operations for an aerospace organization in Torrance, California. This contract opportunity with permanent potential is ideal for a hands-on leader who can guide a small team while remaining directly involved in invoice processing, payment execution, and month-end support in a fast-paced manufacturing environment. The role requires strong attention to controls, vendor management, cash planning, and cross-functional coordination to keep accounts payable running accurately and efficiently.
Responsibilities:
- Direct the daily flow of accounts payable activities, including invoice receipt, account coding, approval routing, matching documentation, and transaction posting for both purchase order and non-purchase order invoices across multiple systems.
- Handle a significant share of invoice processing personally while also supervising departmental output, balancing tactical execution with oversight responsibilities.
- Lead and support a small accounts payable team by assigning priorities, reviewing work quality, coaching staff, and encouraging continued skill development.
- Oversee payment operations for ACH, check, and wire transactions, including preparation, review, exception handling, and accurate posting of completed payments.
- Maintain disciplined approval workflows and ensure all payment activity follows internal authorization standards and segregation-of-duties requirements.
- Prepare accounts payable cash forecasts, track upcoming disbursement needs, and provide guidance on payment timing based on business priorities.
- Administer vendor master records by managing supplier setup, updates, deactivations, supporting documentation, and periodic control reviews.
- Perform reconciliations involving the AP subledger, general ledger, vendor statements, accrued expenses, prepaid balances, and cash clearing accounts as part of the monthly close process.
- Produce and review journal entries, accruals, amortization activity, 1099 reporting, and audit support documentation related to accounts payable.
- Partner with Purchasing, Receiving, Supply Chain, Operations, and Accounting to resolve discrepancies, improve workflows, strengthen controls, and address escalated supplier issues.
- Demonstrated experience in accounts payable, including invoice coding, payment processing, and reconciliation responsibilities.
- Previous leadership or supervisory experience within an accounts payable or high-volume transactional accounting environment.
- Strong working knowledge of ACH payments, check runs, wire activity, and related financial controls.
- Experience supporting month-end close through accruals, journal entries, account reconciliations, and reporting.
- Ability to work effectively in a manufacturing or similarly fast-paced operational setting with high invoice volume.
- Familiarity with ERP and accounts payable platforms, with the ability to manage workflows across multiple systems.
- Strong analytical, organizational, and problem-solving skills with close attention to accuracy and compliance.
