Original job description

We are looking for an Accounts Payable Specialist to join a busy finance team in California. This role supports accurate payment processing, vendor account maintenance, and financial reconciliation activities in a detail-driven environment. The ideal candidate brings hands-on accounts payable experience, strong organizational skills, and the ability to work effectively with internal teams and external vendors.

Responsibilities:

  • Review purchasing documents, receiving records, and supplier invoices to confirm accuracy before entering transactions into the accounting system.
  • Access vendor portals to obtain billing documents, record invoice activity, and document automatic payment transactions in a timely manner.
  • Examine company card activity, input supporting details, and complete reconciliations to ensure charges are properly reflected.
  • Reconcile supplier statements and investigate differences to keep vendor accounts current and accurate.
  • Maintain vendor records, including payment instructions and account setup details, with careful attention to data integrity.
  • Prepare weekly disbursements, record payment activity, and issue remittance information to vendors as needed.
  • Perform account reconciliations across payables-related balances such as aging, deposits, and goods received versus invoiced items.
  • Monitor freight expenses across inbound, outbound, and warranty activity, comparing charges against quotes, orders, and destination information.
  • Work closely with vendors as well as purchasing and receiving teams to resolve pricing, quantity, and documentation discrepancies.
  • Support year-end reporting activities related to 1099 preparation and filing requirements.
  • At least 2 years of recent accounts payable experience in a high-volume processing environment.
  • Practical knowledge of invoice coding, invoice processing, check runs, and three-way matching procedures.
  • Manufacturing industry experience is preferred.
  • Experience with ERP or accounting systems is preferred.
  • Strong proficiency in Microsoft Excel, Outlook, and SharePoint.
  • Excellent written and verbal communication skills with the ability to collaborate across departments.
  • High level of accuracy, strong organizational ability, and effective time management skills.
  • Ability to research issues, complete reconciliations, and resolve discrepancies independently.
