We are looking for an Accounts Payable Specialist to join a growing team on a contract-to-permanent basis. This position supports a busy payables function and is ideal for someone who brings accuracy, sound judgment, and a steady approach in a deadline-driven setting. The person in this role will help keep vendor payments on track, maintain reliable records, and work closely with internal partners to support efficient financial operations.

Responsibilities:

  • Manage a high volume of incoming invoices each week, reviewing entries for completeness, accuracy, and timely processing.
  • Verify invoice details through three-way matching against purchase orders and receiving documentation before payment approval.
  • Investigate billing issues, resolve exceptions, and respond to vendor questions with clear and timely follow-up.
  • Reconcile vendor statements and accounts payable balances to identify discrepancies and maintain accurate financial records.
  • Prepare and execute weekly disbursements through ACH and check payments in accordance with established schedules.
  • Maintain organized vendor documentation, including setup details, payment records, and supporting files.
  • Partner with internal departments to confirm proper account coding and secure necessary approvals for invoice processing.
  • Assist with the setup and ongoing maintenance of both domestic and international vendor profiles.
  • Contribute to month-end close activities by supporting payables reporting and ensuring compliance with accounting procedures and internal controls.
  • 3+ years of experience in accounts payable.
  • Proven ability to work effectively in a high-volume invoice processing environment.
  • Strong knowledge of three-way matching, account reconciliations, and payment processing workflows.
  • Experience handling ACH transactions and check run processing.
  • Proficiency in Microsoft Excel, including the use of formulas for analysis and reconciliation tasks.
  • Familiarity with invoice coding, account coding, and vendor management practices.
  • Experience with Sage Intacct is preferred.
  • Exposure to supporting international or foreign vendors is highly preferred.
