Original job description
We are looking for an Accounts Payable Specialist to join an apparel manufacturing organization in LB, California on a Long-term Contract basis. This position plays a key role in supporting end-to-end accounts payable operations in a high-volume environment, with a focus on accuracy, timely processing, and strong vendor account maintenance. The role partners closely with accounting and supply chain teams to resolve discrepancies, improve workflow efficiency, and support ongoing finance system enhancements.
Responsibilities:
- Process a large monthly volume of invoices while maintaining accuracy in coding, entry, and payment readiness across the full accounts payable cycle.
- Complete three-way matching by validating invoices against purchase orders and receiving records, and resolve any discrepancies that prevent timely processing.
- Investigate payment and invoice exceptions, coordinate with internal stakeholders and vendors, and ensure open items are cleared efficiently.
- Review vendor statements regularly and perform reconciliations to confirm account balances, identify variances, and address outstanding issues.
- Prepare and support payment activities, including ACH transactions and check runs, in alignment with established schedules and controls.
- Use advanced Excel functions such as pivot tables and data analysis techniques to organize large data sets, track trends, and support reporting needs.
- Contribute to accounts payable process improvements by identifying inefficiencies and recommending practical workflow enhancements.
- Assist with the rollout and adoption of new software and technology tools, including reporting and automation solutions such as Power BI.
- Work independently to manage assigned processes while collaborating effectively with the Accounting Manager and cross-functional partners.
- Proven experience in accounts payable, including invoice processing, account coding, and full-cycle AP support.
- Ability to manage high-volume transaction workloads with strong attention to detail and consistent accuracy.
- Hands-on experience with three-way match procedures, vendor reconciliations, and statement review activities.
- Proficiency in Excel at an advanced level, including pivot tables and data analysis for large sets of financial information.
- Familiarity with payment processing methods such as ACH and check runs.
- Strong organizational skills with the ability to prioritize tasks, follow through on issues, and work with minimal supervision.
- Effective communication skills for coordinating with vendors and internal teams to resolve invoice and payment discrepancies.
