We are looking for an Accounts Payable Specialist to join a manufacturing organization in Plano, Texas, in a contract-to-permanent capacity. This position supports a fast-moving accounts payable function serving multiple business entities and requires someone who can quickly assess invoices, apply accurate coding, and coordinate approvals with precision. The ideal candidate brings solid experience in both purchase order and non-purchase order invoice workflows, along with the judgment needed to work effectively with vendors and internal stakeholders in a dynamic environment.

Responsibilities:

  • Process a high volume of invoices each day by reviewing documentation, entering transactions, and ensuring accurate coding across multiple business entities.
  • Determine whether invoices follow purchase order or non-purchase order workflows and route them correctly for matching, coding, and approval.
  • Use accounts payable platforms and ERP tools, including OpenEnvoy and Syteline, to manage invoice activity and maintain timely processing standards.
  • Investigate unmatched invoices, missing purchase order details, and coding discrepancies to resolve payment issues efficiently.
  • Communicate with vendors and internal business partners regarding payment status, account updates, banking changes, and related documentation.
  • Support vendor file maintenance by helping confirm setup information and ensuring records are updated according to established controls.
  • Monitor shared AP mailboxes and respond to incoming requests tied to invoices, vendor maintenance, and payment-related questions.
  • Assist with check runs and ACH payment activities while following internal controls and accuracy requirements.
  • Contribute to backlog reduction and adapt to evolving procedures as the department refines workflows and approval processes.
  • 3+ years of accounts payable experience in a high-volume environment.
  • Working knowledge of invoice coding, general ledger allocation, and accounts payable reconciliation practices.
  • Experience handling both PO and non-PO invoices with strong attention to detail and sound problem-solving ability.
  • Proficiency with AP automation tools and ERP systems, including experience navigating platforms such as OpenEnvoy, Syteline, or similar systems.
  • Ability to manage vendor communications professionally, including support for banking updates and account maintenance requests.
  • Familiarity with ACH payments, check run processing, and standard accounts payable controls.
  • Strong organizational skills with the ability to prioritize work, maintain accuracy, and meet deadlines in an on-site team setting.
