Original job description
We are looking for a dependable Accounts Payable Specialist to support daily invoice and payment activity in our Arizona location. This position plays an important role in keeping vendor transactions accurate, organized, and on schedule within a fast-moving manufacturing setting. The ideal candidate brings strong attention to detail, sound judgment when resolving discrepancies, and the ability to work effectively with internal teams and external suppliers.
Responsibilities:
- Manage a large volume of supplier invoices with a focus on accuracy, timeliness, and proper recordkeeping.
- Compare invoices against purchase orders and receiving documentation to confirm that transactions are complete and correctly matched before payment.
- Review account coding, approvals, and backup materials to ensure each invoice meets internal documentation standards.
- Investigate billing issues and coordinate with purchasing staff, receiving personnel, and vendors to resolve exceptions efficiently.
- Support recurring payment cycles by preparing disbursements through check and electronic payment methods.
- Reconcile vendor account statements, identify outstanding items, and maintain clear communication with suppliers.
- Contribute to month-end accounting activities by organizing payable records and assisting with account close processes.
- Follow established financial controls, company policies, and compliance requirements throughout the accounts payable workflow.
- At least 2 years of recent experience in an accounts payable position.
- Background handling high-volume invoice processing, ideally within manufacturing or distribution operations.
- Working knowledge of purchase order workflows and three-way matching procedures.
- Proficiency with accounting or ERP systems and strong Microsoft Excel skills.
- High level of accuracy, organization, and ability to manage deadlines in a busy environment.
- Effective communication and problem-solving skills for working across departments and with vendors.
- Manufacturing industry experience is preferred, and exposure to defense or aerospace production environments is a plus.
- Familiarity with complex purchasing activity, multiple supplier relationships, and transaction-heavy settings is highly desirable.
