- Assign proper general ledger coding to invoices and confirm supporting documentation is accurate and complete before payment.
- Prepare and execute weekly payment activity, including check runs and ACH transactions, while meeting established deadlines.
- Process recurring monthly vendor payments and maintain organized, up-to-date vendor records within the accounting system.
- Manage the annual 1099 process, including collecting W-9s, maintaining vendor tax information, reconciling payments, and preparing documentation to support accurate and timely 1099 reporting.
- Coordinate closely with accounting team members to ensure continuity of operations during a leave of absence and maintain timely processing of payables.
- Reconcile accounts payable transactions and investigate discrepancies to ensure financial records remain accurate.
- Assist with filing, documentation, and other departmental support tasks as needed in a team-oriented office setting.
- Demonstrated experience handling full-cycle accounts payable in an accounting environment.
- Strong working knowledge of invoice coding, account coding, and payment processing procedures.
- Hands-on experience with ACH payments, check runs, and vendor payment administration.
- Knowledge of 1099 reporting requirements and experience preparing vendor information and supporting documentation for year-end 1099 filings.
- Ability to manage recurring transactions as well as seasonal increases in invoice and payment volume.
