This Long-term Contract position is ideal for an accounting specialist who can maintain accuracy, resolve discrepancies efficiently, and keep vendor accounts current. The role will contribute to day-to-day payables activities while also assisting with reporting, month-end tasks, and compliance-related documentation.
Responsibilities:
- Manage end-to-end accounts payable activities, including the timely handling of a large weekly invoice volume.
- Review, code, and enter vendor invoices while ensuring supporting documentation is complete and accurate.
- Perform three-way matching by comparing invoices with purchase orders and receiving records before payment approval.
- Partner with purchasing and internal stakeholders to investigate and resolve pricing, quantity, or receipt discrepancies.
- Process recurring expenses such as utilities, insurance, and lease-related invoices according to established schedules.
- Prepare weekly payment batches, including checks and electronic payments, and verify payment records against invoice documentation.
- Reconcile vendor statements, monitor aging activity, and address outstanding balances or account issues promptly.
- Support period-end accounting by clearing uninvoiced receipts, organizing records, and assisting with month-end close activities.
- Help maintain compliance documentation by collecting vendor tax forms and assisting with annual 1099 reporting requirements.
- At least 3 years of experience in accounts payable or a closely related accounting support role.
- Hands-on experience with full-cycle accounts payable in a high-volume processing environment.
- Strong knowledge of invoice coding, account classification, and accurate data entry practices.
- Experience with check runs, ACH transactions, EFT payments, and other standard payment methods.
- Ability to perform three-way matching and reconcile vendor statements with a high level of accuracy.
- Familiarity with month-end close support and vendor documentation processes, including W-9 and 1099-related tasks.
- Strong attention to detail, organizational skills, and the ability to resolve discrepancies in a timely manner.
