The position also provides cross-functional assistance with cash receipt coverage, front desk support when needed, and occasional participation in special events.

Responsibilities:

  • Oversee the full invoice lifecycle, including document review, approval verification, account coding, payment scheduling, and prompt follow-up on outstanding questions.
  • Reconcile cash activity regularly by comparing records, identifying discrepancies, and helping maintain accurate financial reporting.
  • Review and balance corporate card transactions on both routine and month-end schedules to ensure completeness and compliance.
  • Provide support for cash receipt processing during high-volume periods and step in when primary coverage is unavailable.
  • Maintain current vendor tax documentation and monitor records to ensure required forms are properly collected and retained.
  • Assist with year-end preparation of vendor tax reporting, including gathering information needed for annual 1099 filings.
  • Contribute to general administrative support within the finance team and complete additional assigned tasks as business needs evolve.
  • Offer front desk and reception coverage as needed to help maintain smooth daily operations.
  • Participate in special events when requested and provide operational support related to those activities.
  • Associate’s or bachelor’s degree in accounting, or 1–2 years of hands-on accounts payable experience.
  • Working knowledge of accounts payable processes such as invoice coding, payment processing, and check run support.
  • Strong organizational skills with the ability to handle multiple priorities while maintaining accuracy.
  • Clear verbal and written communication skills suitable for a detail-oriented office environment.
  • Proficiency with Microsoft Office applications, including Excel, Word, and Outlook.
  • Familiarity with accounting platforms and automated payable systems is preferred.
  • Ability to work independently while also contributing effectively as part of a team.
