This position is based onsite in Oakland.
Responsibilities:
- Manage the complete accounts payable cycle, from invoice receipt through final payment, while maintaining accuracy and timeliness.
- Examine vendor and consultant invoices for proper authorization, correct coding, contract alignment, and appropriate project cost distribution.
- Investigate and resolve billing discrepancies by coordinating with internal teams and external vendors to ensure clean and accurate records.
- Prepare and process payment batches, including check runs and electronic payments, in accordance with company procedures and deadlines.
- Reconcile vendor statements and maintain up-to-date account balances by addressing outstanding items promptly.
- Maintain vendor files, including tax documentation and insurance records, to support compliance and audit readiness.
- Assist with year-end reporting requirements, including the preparation of 1099-related documentation and supporting records.
- Contribute to month-end and year-end close activities, including AP reporting, account support, and project accounting coordination.
- Organize accounts payable files and monitor shared accounting communications to ensure documentation is complete and accessible.
- At least 3 years of accounts payable experience, including responsibility for full-cycle invoice processing and payment support.
- Associate’s or bachelor’s degree in Accounting, Finance, or a related discipline preferred; equivalent practical experience will also be considered.
- Solid understanding of accounting principles, accounts payable workflows, and internal control practices.
- Proficiency with Microsoft Excel and accounting software used for invoice management, payment processing, and recordkeeping.
- Experience with accounting platforms.
- Background in architecture, engineering, construction, or services environments is preferred.

- Strong attention to detail, sound problem-solving ability, and the capacity to manage priorities independently while maintaining confidentiality.
