Original job description
We are looking for an experienced Accounts Payable Specialist to support a busy engineering organization in Syracuse, New York. This is a Long-term Contract opportunity for a knowledgeable and detail-oriented candidate who can strengthen daily AP operations, resolve vendor-related issues, and bring consistency to a high-volume environment. The ideal candidate is comfortable working independently, managing priorities with minimal oversight, and contributing to a more stable and efficient payables process in a hybrid work setting.
Responsibilities:
- Process a high volume of invoices accurately and efficiently while ensuring proper account coding and timely routing for approval.
- Investigate and resolve vendor account issues by reviewing statements, following up on outstanding items, and reconciling discrepancies.
- Perform three-way matching for invoices, purchase orders, and receipts to identify and address quantity, pricing, or receiving variances before payment.
- Support payment activities including ACH transactions and check runs while helping maintain accurate records of disbursements.
- Communicate with internal teams and external suppliers to answer payment questions, track invoice status, and clear aged items.
- Use Excel to monitor invoice activity, organize follow-up items, and provide visibility into unresolved payables concerns.
- Assist with AP process stabilization by identifying recurring problems, supporting retraining efforts, and helping reinforce effective procedures.
- Contribute to ongoing operational changes, including coordination with third-party support teams and system-related AP activities as needed.
- Demonstrated experience in accounts payable within a high-volume transaction environment.
- Strong understanding of invoice processing, account coding, and AP reconciliation practices.
- Hands-on experience with three-way match processes, including resolution of receipt and pricing discrepancies.
- Familiarity with ACH payments, check runs, and vendor statement review.
- Ability to work independently, exercise sound judgment, and solve problems with limited direction.
- Proficiency in Excel, including tracking tools and pivot tables for organizing AP data.
- Strong communication skills for working effectively with suppliers and cross-functional internal stakeholders.
