This role is ideal for someone who enjoys detailed financial work, can manage a steady invoice volume, and understands the importance of accurate documentation in a regulated business environment. Working alongside accounting and procurement, you’ll help ensure invoices are processed correctly, expenses are assigned to the right departments, and vendor accounts remain current.

Responsibilities

  • Process invoices for laboratory supplies, research services, equipment, facilities, and general operating expenses.
  • Match invoices to purchase orders, receiving documentation, and approval records.
  • Verify general ledger coding, department allocations, and supporting documentation.
  • Prepare payment batches and monitor invoice due dates.
  • Reconcile vendor statements and resolve missing invoices, duplicate charges, and unapplied credits.
  • Maintain vendor records and required tax documentation.
  • Review employee expense reports and corporate card transactions.
  • Communicate with vendors and internal stakeholders regarding payment status and discrepancies.
  • Assist with month-end accruals, AP reconciliations, and audit requests.
  • Maintain organized digital records and follow established financial controls.
  • 3+ years of accounts payable experience.
  • Strong invoice reconciliation and vendor account management skills.
  • Familiarity with ERP or cloud-based accounting systems.
  • Proficiency in Microsoft Excel.
