Original job description

We are looking for an Accounts Payable Manager to lead end-to-end payables operations for a multi-entity organization based in Houston, Texas. This role oversees invoice processing, payment execution, and month-end support while helping maintain accuracy, compliance, and strong vendor relationships. The ideal candidate brings deep accounts payable expertise, strong analytical skills, and a practical approach to improving workflows and controls.

Responsibilities:

  • Direct the complete accounts payable cycle across multiple business entities and operating locations, ensuring timely and accurate processing.
  • Examine vendor invoices against supporting documentation, assign correct accounting treatment, and resolve discrepancies before payment.
  • Administer vendor disbursements, including ACH, check runs, and corporate card activity, while maintaining proper approval controls.
  • Oversee the shared accounts payable inbox each day, prioritize requests, and ensure inquiries are addressed promptly.
  • Prepare and distribute weekly payment projections to Treasury to support cash planning and liquidity management.
  • Maintain supplier tax documentation and assist with year-end 1099 preparation and reporting requirements.
  • Support the monthly close by recording payable-related accruals, prepaid entries, and reconciliations between subledger activity and the general ledger.
  • Evaluate payment terms, discount opportunities, and process enhancements that can reduce cost and improve operational efficiency.
  • At least 5 years of hands-on experience managing full-cycle accounts payable functions.
  • Background supporting payables in a multi-entity or multi-location business environment.
  • Strong working knowledge of invoice coding, reconciliations, accruals, and month-end close activities.
  • Advanced Microsoft Excel capabilities, including PivotTables, VLOOKUP, and SUMIFS.
  • Experience working with ERP platforms and AP automation tools such as Coupa, Concur, AvidXchange, Bill.com, Ramp, or similar systems.
  • Ability to review, coordinate, or guide the work of remote or offshore support resources is preferred.
  • NetSuite experience is preferred.
  • Demonstrated problem-solving ability with a focus on streamlining processes and identifying savings through payment terms or vendor discount programs.
