We are looking for an Accounts Payable Clerk to join a team in Texas in a contract-to-permanent capacity. This position is ideal for someone who thrives in a fast-paced environment, manages a high volume of invoices with precision, and communicates effectively across departments and with vendors. The role focuses on accurate invoice handling, issue resolution, and consistent support of daily accounts payable operations while maintaining organized records and dependable follow-through.

Responsibilities:

  • Manage a large daily invoice workload, reviewing submissions for accuracy, completeness, and alignment with supporting purchase documentation before processing.
  • Examine invoice variances, determine the source of mismatches, and coordinate with vendors and internal teams to bring items to resolution promptly.
  • Perform vendor statement reconciliations by researching open balances, locating missing documents, and addressing credit or payment differences.
  • Enter invoice details into Spectrum and maintain dependable records to support reporting, audit readiness, and timely payment activity.
  • Review invoices for appropriate sales and use tax treatment across multiple states, recognizing exceptions and escalating complex tax concerns when needed.
  • Assess equipment rental billing for common charge structures and identify unusual or incorrect items that require follow-up.
  • Respond to accounts payable questions from project staff, field teams, HR, and leadership, providing clear guidance on invoices, payments, and expense-related matters.
  • Keep outstanding issues organized, monitor open items through completion, and adapt to changing priorities or updated workflows while supporting process improvements.
  • At least 2 years of accounts payable experience in a high-volume processing environment.
  • Demonstrated ability to code invoices, process invoices accurately, and support check run activities.
  • Experience using Spectrum for invoice entry and accounts payable record management.
  • Strong attention to detail with the ability to identify discrepancies and resolve issues efficiently.
  • Working knowledge of purchase order matching and vendor reconciliation practices.
  • Familiarity with sales and use tax review across multiple jurisdictions is preferred.
  • Effective communication skills for working with vendors and cross-functional internal stakeholders.
