Original job description

We are looking for an Accounts Payable Clerk to join a non-profit organization in San Diego, California in a contract opportunity with permanent potential. This role is ideal for someone who enjoys detailed financial work, can manage invoice processing with accuracy, and communicates effectively with vendors and internal stakeholders. The position supports day-to-day payables operations, payment processing, and financial recordkeeping while helping maintain timely and accurate transaction flow.

Responsibilities:

  • Examine incoming invoices against purchase documentation and receiving details to confirm accuracy, completion, and correct account coding before payment.
  • Prepare payment batches and assemble the required backup materials so checks are ready for management approval and signature.
  • Investigate discrepancies related to billing amounts, missing approvals, pricing issues, or incomplete receiving records by coordinating with appropriate contacts.
  • Track outstanding vendor balances and scheduled payments to help capture eligible early-payment discounts and maintain current accounts.
  • Receive and record student payments for incidental fees and bookstore-related items, then organize funds and documentation for deposit processing.
  • Create periodic and on-demand reports covering supplier activity, spending patterns, and other accounts payable data for review.
  • Maintain accurate data entry within financial systems and support general accounts payable administration as needed.
  • Carry out additional finance-related tasks and departmental support duties assigned by leadership.
  • At least 1 year of experience in accounts payable or a closely related accounting support function.
  • Practical knowledge of invoice handling, expense reimbursement processes, and account reconciliation principles.
  • Proficiency with Microsoft Office, especially Excel, along with experience using financial platforms such as NetSuite or Oracle.
  • Ability to code invoices accurately, enter financial data efficiently, and assist with check run processing.
  • Strong organizational skills with careful attention to detail and the ability to manage multiple priorities.
  • Clear written and verbal communication skills, including the ability to follow instructions and resolve payment-related questions.
  • Associate or bachelor’s degree in accounting, finance, or a related discipline from an accredited institution is preferred.
  • Capability to work cooperatively with colleagues, vendors, and cross-functional partners in a collaborative environment.
