Original job description

We are looking for an experienced Accounting Manager/Supervisor to lead the daily accounting operations for a distribution business in Teterboro, New Jersey. This role is ideal for someone who enjoys working in a hands-on environment and can independently manage core accounting activities from transaction processing through close support. The position requires strong attention to detail, sound judgment, and the ability to maintain accurate financial records while supporting leadership with timely reporting and dependable financial information.

Responsibilities:

  • Oversee day-to-day accounting activities across multiple entities, ensuring the general ledger remains accurate through trial balance.
  • Prepare journal entries, accruals, and supporting schedules to assist with monthly and annual closing activities.
  • Perform reconciliations for bank accounts, receivables, payables, and inventory balances, and investigate variances to resolution.
  • Monitor daily cash activity, maintain cash position reporting, and address banking matters such as positive pay exceptions and potential fraud concerns.
  • Use QuickBooks and related accounting systems to record transactions, verify data consistency, and keep financial records current and organized.
  • Process customer payments, apply cash accurately, issue account statements, and resolve billing or payment discrepancies including short pays and overpayments.
  • Review accounts receivable aging, monitor customer credit exposure, and support order release decisions based on payment terms and credit limits.
  • Administer payroll on a biweekly and monthly basis, maintain employee compensation records, and coordinate with external payroll, benefits, and insurance partners.
  • Prepare management reports and ad hoc financial information, and serve as a point of contact for outside accounting advisors regarding financial questions and documentation.
  • Demonstrated experience managing month-end close activities in a hands-on accounting role.
  • Strong working knowledge of general ledger maintenance, journal entries, and account reconciliations.
  • Experience using QuickBooks in a business environment with responsibility for accurate transaction recording and reporting.
  • Ability to manage accounts payable, accounts receivable, cash application, and payroll processing with a high level of accuracy.
  • Familiarity with inventory-related reconciliations and financial record support within a distribution or product-based business.
  • Solid understanding of internal controls, financial documentation, and organized recordkeeping practices.
  • Comfortable working independently in a smaller company setting where ownership of daily accounting tasks is essential.
  • Effective communication skills for collaborating with management and external financial or audit partners.
