The ideal candidate is comfortable working with high-volume transactions, maintaining documentation integrity, and collaborating with finance and people teams to keep records current and reliable.

Responsibilities:

  • Process vendor invoices by assigning proper coding, matching supporting purchase and receiving documents, and escalating discrepancies for review.
  • Maintain a timely accounts payable workflow to help ensure vendors are paid according to established terms.
  • Record and validate daily sales, deposits, and gratuity information, comparing reported figures with bank activity for each location.
  • Identify and report financial variances that exceed established thresholds on the day they are discovered.
  • Update and maintain vendor records, including tax documentation, payment terms, and remittance information.
  • Review employee expense submissions and mileage reimbursements for coding accuracy and policy compliance.
  • Assemble bank and credit card reconciliation support files for leadership review and complete assigned month-end close tasks on schedule.
  • Organize digital financial records, retrieve supporting documents for audit and compliance requests, and preserve a clear audit trail for every transaction.
  • Provide additional administrative and finance support as needed while maintaining accurate time reporting.
  • Experience in accounting support functions such as accounts payable, accounts receivable, or general financial data entry.
  • Working knowledge of invoice processing, expense coding, and purchase order matching, including three-way match procedures.
  • Proficiency with QuickBooks or similar accounting software used for transaction entry and record maintenance.
  • Strong attention to detail with the ability to verify data accuracy and investigate discrepancies efficiently.
  • Ability to manage multiple priorities, meet recurring deadlines, and maintain organized financial documentation.
  • Familiarity with vendor file maintenance, bank deposit verification, and reconciliation support activities.
  • Clear communication skills and the ability to work effectively with finance leadership and cross-functional teams.
