Robert Half is looking for an organized Accounting Assistant to support payroll-related accounting, expense tracking, and financial recordkeeping for a business serving clients in the Camp Pendleton area! This role is well suited for someone who likes structured processes, accurate records, and a mix of accounting and administrative responsibilities. Working alongside the accounting and operations teams, you'll help keep employee expense records, vendor transactions, and financial documentation current. The ideal candidate is comfortable handling confidential information and knows the importance of accuracy when financial records affect payroll, reporting, and billing.

Key Responsibilities:

  • Enter invoices, expense reports, and other financial transactions into the accounting system.
  • Review receipts and supporting documentation for completeness and proper coding.
  • Assist with payroll data preparation, timekeeping reconciliations, and payroll-related journal entries.
  • Track employee reimbursements and company credit card expenses.
  • Help reconcile bank accounts, credit cards, and selected general ledger accounts.
  • Process vendor information updates and maintain accurate payment records.
  • Assist with accounts payable and invoice approval tracking.
  • Organize financial documentation for internal reviews and client billing support.
  • Maintain spreadsheets used to track expenses, outstanding items, and payment status.
  • Research discrepancies and follow up with employees or departments for missing information.
  • Support month-end close by gathering documents and preparing basic account schedules.
  • Handle confidential financial and employee information appropriately.
  • 1–3 years of accounting, bookkeeping, payroll support, or financial administration experience.
  • Working knowledge of Excel and Microsoft Outlook.
  • Familiarity with accounting software and timekeeping systems preferred.
  • Strong organization, data-entry, and reconciliation skills.
  • Ability to meet recurring deadlines and follow established procedures.
  • Professional communication skills and discretion with confidential information.
  • Government contracting, defense-related services, or compliance-driven industry experience is a plus.
